WorkForce Timekeeper has a feature that allows Approvers or Administrators to be able to add extra clockings for employees who work night shifts but are not set to work them in their working schedule.
As night shifts can start late on one day and end on another an invalid day could appear in your approvals pages for particular days due to an employee only producing a single clocking on a day as opposed to an even number of clockings. Therefore, to solve such an issue, additional night-shift clockings can be added and will allow for a calculation of hours worked per day by an employee. This feature allows for 2 clockings to be automatically created for a night shift to be calculated correctly. The system will automatically clock out an employee at 23:59 (or 11:59 PM) on the day that they started their night shift as well as another clock-in employee at 0:00 (or 12:00 AM) the next day to create the even number of clockings that the software needs accordingly.
Note: In the event that an employee follows a constant weekly schedule and works night shifts, these can be included in the employees’ working schedules/ These can be set per employee for any day of the week by ticking the Night Shift option on the days they repeatedly work night shifts. For more information on the employee's working schedules please click here.
Step 1: Launch the WorkForce Timekeeper module, click on Approvals from the left-hand side menu, and then on By Employee.
Step 2: Choose the date from, date to, and the employee and click on Refresh.
Step 3: If there is an invalid day because the employee worked a night shift, click on the moon icon on the right-hand side:
This will create a clocking at 23:59 on the same day the shift starts and another clocking at 00:00 on the day after. Continue pressing the Night Shift icon to create night shifts on the other days:
The final result will look like this:
Note: We recommend using this feature with caution as adding incorrect clockings could cause incorrect reporting.
