This article will guide you on how to setup and manage notifications to receive an email with a list of employees that are on leave tomorrow.
Step 1: Open your Events Setup settings page by clicking on Product Switcher>WorkForce, and then click on Notification>Events from the left-hand side menu.
Step 2: In the Event Details tab, enter your event's Name and select the Start Date of the event.
Note: The End Date is not a mandatory field.
Step 3: The next step is to select the users that you would like to start receiving this email notification. You can select users which are already invited/added to WorkForce, or alternatively, [custom] users that are not on WorkForce.
- Start by going on the Recipients tab, and then click on Add new Recipient.
- Select the Recipient Object Type
- If you would like to add a new [custom] user which is not on WorkForce, select Custom Recipient and enter the First Name, Last Name and Email Address.
- If you would like to select a user that is already on WorkForce, select Tenant, and from the Recipient Type drop-down list select the users to start receiving this notification. There are 4 Recipient Types:
- All Users: All users in WorkForce will start receiving this notification.
- Users: If you select this option, you must select the individual users by clicking on the Recipients drop-down list to start receiving this notification.
- All Admin Users: If you select this option, you must select the WorkForce module by clicking on the Product Admins drop-down list. All Admin Users of the selected module will start receiving this notification.
- Admin Users: If you select this option, you must select the WorkForce modules by clicking on the Product Admins drop-down list, and then select the individual admins by clicking on the Recipients drop-down list to start receiving this notification.
- Select the Recipient Email Object Type. This option is only available if you have chosen Tenant as the Recipient Object Type.
- Account Email: Select this option to send this email notification on the user's email address on WorkForce
- Custom Email: Select this option to send this email notification on another email address other than the user's email address on WorkForce.
- Repeat steps 1-3 if you would like to add multiple Recipient Types
Step 4: After selecting the recipients, the next step is to select what type of notification (event) they will start receiving the notification as well as the frequency (e.g. daily, every week, every month, every year, or selected days).
- Start by going on the Trigger Settings tab.
- Trigger Type must always be set as Condition, and, the Scheduled Condition Modifier must always be checked.
- The next step is to select the Condition. Click on +Add New Condition, enter the condition Name (e.g. 'On Leave Today'), select Employees on Leave Tomorrow as the Condition Type and click on Apply.
- The next step is to select the notification frequency. First, you must select the Start Time (the start time the notification email will be sent). Then, select the type of Reminder Repetition (Frequency). The following are options that you can select as your notification frequency:
- Does not repeat: Select this option if you would like to send this notification only once. The notification will be sent on the Start Date you have selected in Step 2 above, at the time you have selected as the Start Time.
- Hourly: Select this option if you would like to send this notification on an hourly basis. The screenshot below shows an example of a notification that will be sent every 4 hours, starting at 10:00 am on the Start Date you have selected in Step 2 above.
Note: The End Time Range is not a mandatory field. If left empty, the recipients will continue receiving this notification every 4 hours. - Daily: Select this option if you would like to send this notification on a daily basis. The screenshot below shows an example of a notification that will be sent everyday at 10:00 am starting from the Start Date you have selected in Step 2 above.
Note: The Interval field indicates the number of skipped days. Since we have entered '0' the notification will be sent everyday. If you enter '1', the notification will be sent every 2 days (skipping 1 day). - Weekly: Select this option if you would like to send this notification on a weekly basis. The screenshot below shows an example of a notification that will be sent every Monday, Wednesday and Friday at 10:00 am starting from the Start Date you have selected in Step 2 above.
- Monthly: Select this option if you would like to send this notification on a Monthly basis. The screenshot below shows an example of a notification that will be sent on the 10th, 20th and the last day of each month at 10:00 am starting from the Start Date you have selected in Step 2 above.
- Anually: Select this option if you would like to send this notification on a Yearly basis. The screenshot below shows an example of a notification that will be sent on the end of each quarter at 10:00 am starting from the Start Date you have selected in Step 2 above.
Step 5: Click on Save to save your notification event.
